Asset QR Codes
Label any business asset with its own QR code — a scannable record of what it is, its status, its documents and its history. No spreadsheet to dig through, no asset-tag lookup system to log into.
A record for every asset you track
Beyond plant and machinery, businesses label all kinds of assets for tracking: IT equipment (laptops, monitors, AV gear), office and facility furniture, tools and shared equipment, catering and commercial kitchen equipment, cleaning equipment, and shared fleet items. FreeQR's Asset QR gives each one a QR code and a public, mobile-friendly record page — asset name, an ID, make/model, current status, and any documents or manuals you choose to attach.
Scan it, see it — no login, no app
Whoever picks up the asset — an employee, a contractor, an IT technician — scans the QR and sees the record immediately in their phone's browser. No FreeQR account needed to view it, and no separate asset-management system to log into first.
Report a problem by scanning
If an asset is damaged, missing a part, or needs attention, anyone can report it straight from the scan — a description, an optional photo, and an optional name — landing directly in the asset owner's FreeQR dashboard.
Bring in your existing asset list
If your assets are already in a spreadsheet, FreeQR's CSV import creates a QR code and record for each one in a single import, with a validation preview before anything is created — no need to re-enter everything by hand.
Frequently asked questions
- Is this the same as FreeQR's Equipment Passports?
- Yes — Asset QR codes and Equipment Passports are the same underlying FreeQR feature. This page focuses on general business assets (IT equipment, furniture, tools); see Equipment Passports for plant, machinery and hire-equipment examples.
- Does the person scanning need an account?
- No — viewing an asset record and reporting a problem both work in the browser, with no FreeQR account required.
- Can I import a list of assets I already track in a spreadsheet?
- Yes — a CSV import tool lets you bring in a batch of assets at once, with validation and a preview before anything is created. A separate update mode can also bulk-update existing records (matched by asset ID or serial number) without creating new QR codes.
- Can I get notified automatically when a problem is reported, or when service is due?
- On the Business plan and above, yes — automatic email alerts for new fault reports and for upcoming/overdue service and inspection dates. On Pro, these all still show in the dashboard, just without the email.
- Can I keep some details private?
- Yes — you choose which documents and history entries are visible publicly; private notes and internal references are never shown on the public record.
- Is this a full IT asset management (ITAM) system?
- No — FreeQR gives each asset a QR-linked record (status, documents, service history, fault reporting), not full ITAM functionality like depreciation schedules, software licence tracking or lifecycle/warranty automation. For many small and mid-sized teams that just need a fast, scannable record per asset, it covers the day-to-day need without a dedicated ITAM platform.
- Which plan do I need?
- Asset QR codes are included on FreeQR's Pro plan (A$12.99/month) and above. Automated email alerts and reminders need the Business plan (A$29.99/month) and above.
