Create Site Sign-In

How it works

Set up a site in your FreeQR dashboard — name, address, site manager and emergency details, who's allowed to sign in (workers, visitors, delivery), and whether location verification is required. FreeQR generates a QR code and a professional printable A4 sign you can put at the entrance within minutes.

A worker or visitor scans the QR with their phone's camera — no app to install. They choose Worker, Visitor or Delivery, fill in the details you've configured, complete the site induction, SWMS acknowledgement and today's pre-start if required, optionally confirm their location, then sign in. The same QR works for signing out again.

A real form builder — inductions, SWMS, toolbox talks and custom forms

Build worker induction, visitor, delivery, pre-start, toolbox talk, SWMS acknowledgement and custom forms from 22 field types — short/long text, number, date, yes/no, dropdown, multi-select, mandatory acknowledgement, signature, credential number and expiry, and more. Fields can be reordered, made required or optional, and targeted at specific attendee types.

Publishing a form creates an immutable version. Editing it afterward always creates a new version rather than rewriting history — so a worker's historical induction or SWMS acknowledgement always reflects exactly what they read and signed at the time, even after you publish updated content later.

Worker credentials, with expiry tracking

Record White Cards, High Risk Work Licences, EWP tickets, Working at Heights, First Aid, electrical licences, trade qualifications or custom credential types — identifier, issuing authority, issue/expiry dates and a verification status your site manager controls. A configurable expiry window (30/60/90 days) flags credentials as expiring soon or expired, and you choose whether an expired required credential only warns or actually blocks sign-in. Verification is a manager sighting the document — FreeQR does not claim an automatic government licence-registry check.

Manager approval, where you want it

Set any form to auto-approve or require manager approval. A submission awaiting approval shows in a clear pending queue; rejecting it requires a reason and the worker can resubmit — every status change is logged.

GPS-verified sign-in

Choose GPS off, capture location without blocking sign-in, or require sign-in within a radius of the site (50m–500m, or a custom range). This uses the phone's browser location at the moment someone signs in or out — a standard browser can't reliably do continuous background geofencing, and FreeQR doesn't claim to. If someone can't be verified, you decide whether a manual override (with a captured reason) is allowed.

Live who's on site, and emergency roll call

See everyone currently signed in, in real time — filter by worker, visitor or delivery, and manually correct or close out a record if needed (every manual change is logged). One tap starts an emergency roll call: everyone currently on site is listed as unaccounted, and you mark each person off as they're accounted for.

Site managers and viewers, with real permissions

Give another FreeQR account manager or read-only access to one specific site — attendance, forms, credentials and reports, without giving them your billing or your other sites. Permissions are enforced on the server, not just hidden in the interface.

Attendance summary — days on site, per worker and per company

Pick a period — today, this or last week, this or last month, or the last 7/30 days — and get the numbers a raw sign-in list can't answer: how many distinct days each person was on site, how many sign-ins, how long, and the same rolled up per contractor company. It's the view you want open when you're checking a subcontractor's invoice or claim against what the gate actually recorded.

Time on site only ever adds up visits that have a recorded sign-out; it never estimates a missing one, and any sign-in left open is shown separately rather than quietly rounded into a total. Download the whole thing as CSV — the per-visit export stays exactly as it was.

Records: CSV, PDF, and a full audit trail

Export a daily attendance register, an attendance summary, an emergency roll-call report and a credential summary as CSV or PDF. Every manual change, form publish, approval and credential update is recorded in an audit log.

Built for teams that don't need a giant platform

Some construction-safety products — HammerTech, SignOnSite and similar — are broad platforms covering permits, incidents, plant management and more, usually quoted against your annual construction volume. If you need that scale of compliance suite, use one of them.

If what you actually need is a QR sign-in, induction, SWMS and pre-start system with a live onsite register and emergency roll call, FreeQR Construction Site Sign-In covers that directly, included in the Pro plan at a flat A$12.99/month — not priced per site or per worker. The closest direct comparison, Flowmatix, charges from A$49/site/month (Starter) or A$99/month flat for up to 5 sites (Pro); Sine, Induct For Work and VisitUs sit in a similar A$44–$550/month range depending on tier. FreeQR Pro's single flat price is substantially cheaper, especially once you're running more than one site — and it does this without dedicated kiosk/tablet hardware or a government licence-registry integration, which some of those products include.

Frequently asked questions

Which plan do I need?
Construction Site Sign-In is included on FreeQR's Pro plan (A$12.99/month) and above.
Does a worker need to download an app?
No — the entire sign-in, induction and pre-start flow runs in the phone's browser after scanning the QR code.
Can contractors and visitors sign in too?
Yes — worker, contractor, visitor and delivery sign-in are all supported, each with its own configurable form.
Can workers complete an induction?
Yes — a versioned site induction with mandatory acknowledgement and an optional signature, built with the same form builder used for every other form type.
Does FreeQR support SWMS acknowledgement?
Yes — SWMS acknowledgement is a dedicated form kind with the same versioning, signature and immutable-history guarantees as every other form.
Can we run daily pre-starts?
Yes — a pre-start can be required once per day; a previous day's acknowledgement never satisfies today's requirement.
Can credentials be tracked, with expiry?
Yes — White Card, licences, tickets and custom credential types, with a configurable expiry warning window and a warn-or-block sign-in policy.
Can GPS be used to verify sign-in location?
Yes, optionally — a geofence radius around the site, checked once at the moment of sign-in. FreeQR does not provide background GPS tracking.
Can I see who is currently onsite?
Yes — a live, real-time attendance register.
Can I run an emergency roll call?
Yes — one tap starts a roll call listing everyone currently on site as unaccounted, with each person marked off as they're found.
Can I export attendance records?
Yes — CSV and PDF exports, including a daily attendance register, an emergency roll-call report and a credential summary.
Can I see how many days someone was on site this month?
Yes — the attendance summary counts distinct days on site, sign-ins and recorded time for each person over a period you choose, and rolls the same up per contractor company. It's available in the dashboard and as a CSV download. Recorded time only includes visits that have an actual sign-out — a missing sign-out is reported, never estimated.
What happens when a worker forgets to sign out?
The register flags sign-ins still open from an earlier day or well past a normal shift, and a site manager can close them all out in one click. Those records are kept and marked as closed out by an admin rather than signed out by the worker, so the two are never confused in a report.
Can I print a site QR sign?
Yes — a professional, printable A4 sign with your site details and QR code, ready in minutes.
