How it works

Create a feedback QR in your FreeQR dashboard — a title or location name, which categories to offer (general feedback, maintenance, cleanliness, damaged item, safety concern, suggestion, other), and whether to collect optional contact details or a photo.

Place it where people need it — a hotel room, a common area, a bathroom, an office, a piece of equipment, a rental property. Someone scans it with their phone's camera, picks a category, writes a short message, and submits — no app, no account. You see it in your FreeQR dashboard, with a simple New / In progress / Resolved status to work through.

Edit the form anytime — the QR code never changes

The printed QR encodes a short FreeQR link, not the form itself. Rename it, change which categories are offered, rewrite the instructions, or turn it off entirely — the sticker on the wall never needs reprinting.

Anonymous by default, with an honest limit

Contact details are optional unless you choose to require them, and a submission can be sent without any name or contact at all. This isn't an emergency reporting system — a safety-concern submission here is not monitored in real time, and the form says so.

Close the loop without asking who they are

The usual trade-off with anonymous feedback is that nobody ever finds out whether anything happened. Someone reports a broken hand dryer, gets a thank-you message, and that's the end of it — so next time they don't bother.

Each submitter can be given a short reference code on the confirmation screen. They come back to the same page later, enter the code, and see the status plus any reply you've written — with no name, no email and no account. The code is the only credential, it's random, and the lookup deliberately never shows the original message or any contact details back to whoever types it, so it can't be used to read someone else's report.

One QR, built on the same platform as everything else

QR Feedback & Issue Reporting uses FreeQR's standard dynamic QR, the same scan analytics as every other QR type, and (on Business and above) the same operational email-alert pattern already used for Equipment Passports — so a new submission can land in your inbox, not just your dashboard.

Frequently asked questions

Do I need an app?
No — scanning the QR opens the form in the phone's normal browser. There's nothing to install and no account required to submit.
Does the person scanning need an account?
No. Viewing and submitting the form both work without a FreeQR account.
Can people submit anonymously?
Yes, by default. You can optionally require a name or contact detail if you'd rather not accept anonymous submissions.
Can I change the form after printing the QR?
Yes — that's the whole point. The QR encodes a link, not the form content, so editing the title, categories, instructions or confirmation message in your dashboard updates what people see immediately.
Can I receive photos?
Yes, optionally — JPEG, PNG or WebP, up to 8 MB, using the same secure upload pipeline as FreeQR's other public-submission forms.
Can I track scans?
Yes — total scans and when it was last scanned, using FreeQR's standard scan analytics. This measures how often the form is opened, not how many people actually submitted something.
Can I use it for maintenance issues?
Yes — Maintenance issue is one of the default categories, alongside general feedback, cleanliness, damaged item, safety concern and suggestion. You choose which categories to offer.
Is it an emergency reporting system?
No — it is not an emergency-response system. Submissions aren't monitored in real time. For an urgent or emergency matter, use the appropriate emergency contact channel instead.
Can someone follow up on a report they made anonymously?
Yes, if you turn on report tracking. Each submitter gets a short reference code on the confirmation screen, and can return to the same page and enter it to see the status and any reply you've written — with no name, email or account. The lookup shows only the status, the category, the date and your reply; it never shows the original message or any contact details back to whoever types the code.
Can I reply to an anonymous report?
Yes — write a reply in your dashboard and anyone holding that report's reference code can read it. Internal notes are a separate field that is never published, so there's no risk of a private note reaching the reporter.
Can I manage a lot of submissions, not just see a flat list?
Yes — filter the submissions list by status (new, in progress, resolved) or category, so a busy form doesn't become a wall of unsorted entries.
Which plan do I need?
QR Feedback & Issue Reporting is included on FreeQR's Pro plan (A$12.99/month) and above. Automated email alerts for new submissions need the Business plan (A$29.99/month) and above.
