Equipment Maintenance QR Codes
Stop missing a service or inspection date. Scan the QR on the equipment itself to see its maintenance history, or let FreeQR email you before a date arrives.
Service and inspection dates that are actually visible
Record last-serviced, next-service-due, last-inspected and next-inspection-due dates on each piece of equipment. Anyone who scans the QR — or anyone looking at the dashboard — sees a clear overdue indicator the moment a date passes, not just a column in a spreadsheet nobody opens.
Maintenance history behind the QR, not buried in a filing cabinet
Add service, inspection, repair and maintenance entries over the equipment's life — who did the work, when, and notes. Choose which entries are visible on the public passport page (handy for a hire customer or a site visitor) and which stay private to your team.
Automated email reminders — Business plan and above
Turn on reminders once, per workspace, and FreeQR emails you as a service or inspection date approaches, on the day it's due, and again if it becomes overdue — so a date never slips through purely because nobody happened to check. Choose whether reminders cover service dates, inspection dates, or both.
Every Equipment-enabled plan (Pro and above) still shows due-soon and overdue indicators directly in the dashboard — the email layer on Business and above is an addition on top, not a replacement for that.
Fault reporting feeds straight into the same record
A technician or operator who finds a problem can report it by scanning the same QR — no separate system, no account. On Business and above, that also emails the equipment owner immediately.
Update maintenance details for your whole fleet at once
Already tracking service dates in a spreadsheet? A CSV update mode matches your existing equipment by asset ID or serial number and updates dates, status and other details in bulk — with a preview of exactly what will change before anything saves.
Frequently asked questions
- Can QR codes send equipment service reminders?
- Yes — on the Business plan and above, FreeQR sends automatic email reminders as a service or inspection date approaches, on the day it's due, and if it becomes overdue.
- Do I need Business for the dashboard to show overdue equipment?
- No — due-soon and overdue indicators in the dashboard are available on every Equipment-enabled plan, including Pro. Only the automated email reminders need Business and above.
- Can I keep a maintenance history for each piece of equipment?
- Yes — service, inspection, repair and maintenance entries, each with a date, description and who performed it, visible to your team and optionally shown on the public passport page.
- Does setting a status like 'Operational' get overwritten automatically if a date becomes overdue?
- No — FreeQR never silently changes a status you've set. An overdue service or inspection date is shown as a clear, separate indicator alongside whatever status you've chosen.
- Can I bulk-update maintenance dates for many pieces of equipment at once?
- Yes — a CSV update mode matches rows to existing equipment by asset ID or serial number and shows a preview of every change before committing.
- Does this replace my legal inspection/certification obligations?
- No — this is an operational record-keeping and reminder tool. It doesn't certify equipment as legally compliant or replace statutory inspection and certification processes.
- Which plan do I need?
- Service/inspection date tracking and dashboard due/overdue indicators are included on FreeQR's Pro plan (A$12.99/month) and above. Automated email reminders and fault-report alerts need the Business plan (A$29.99/month) and above.
